ServiceCore is the software most portable restroom operators hear about first, and for a lot of companies it is the right answer. This post is for the operator who is either looking at it and wants a second option on the table, or running it and wondering what a switch would involve. It is not a takedown. Every fact about ServiceCore below comes from its own website, and the comparison page links each source.
1. Can you see the price before the demo
ServiceCore's pricing page offers two plans, Start and Pro, and asks you to schedule a personalized demo to see pricing. Its FAQ says it is best for operators that have multiple trucks. If you are a two-truck company deciding between tools this week, that is a sales call before you have a number to compare.
Whatever alternative you look at, get the number for your size in writing, and ask what it becomes with one more truck and two more people.
2. How long is the contract
ServiceCore's FAQ says it is billed monthly with an annual contract. An annual term is normal for software sold through a sales team, and it is fine if the product is right. The risk is finding out in month three. Any alternative you consider should offer a trial on your own data, so the contract question is answered before you sign anything.
3. How long until you are live
ServiceCore's FAQ says setup and training typically take 6 to 12 weeks depending on the size of the business. That is a real project, with a start date and a go-live date, and it is worth asking what you are expected to provide during it.
The biggest variable is not the software, it is your data. Before you talk to anyone, get your customers, sites, units, service days and rates into one spreadsheet. We wrote a guide to switching without losing a billing cycle that walks through exactly which columns to collect.
4. Does rental billing do 28 days the way you do it
ServiceCore's portable restroom page describes 28-day billing cycles and daily batch billing. Any serious alternative must do the same, and it must do the parts around it: prorate the first invoice when a unit lands on day nine of the cycle, pause a seasonal site without deleting it, bill a builder one invoice per lot, and tell you at the end of the cycle which units did not bill.
On the demo, ask for those four screens by name. Our post on 28-day versus monthly billing explains why each one matters.
5. What happens with QuickBooks
ServiceCore's pricing FAQ says it is QuickBooks compatible. Ask what that means in practice: Online or Desktop, invoices only or payments too, and what happens to a voided invoice. The accounting sync is the integration your bookkeeper will judge you on. PortaPro sends invoices and payments to QuickBooks Online, QuickBooks Desktop, Xero and FreshBooks, and the help center lists exactly what goes across.
6. What else is on the bill
ServiceCore's FAQ says digital marketing services are an additional cost. Card processing rates are not listed on its pricing page. Neither is unusual, but both are numbers you want before you compare totals. For card fees specifically, read our post on cash discount programs: whichever tool you pick, the customer can pay the card cost if your invoice is set up right.
7. Does one account run your whole book
ServiceCore is built for portable restroom, grease, septic and dumpster businesses. So is PortaPro, plus tent and event rentals. If you run more than one of those, the question is whether each trade gets its own billing model (tonnage for dumpsters, pump-out intervals for septic, rate cards for porta johns) or whether one is squeezed into another's shape.
What switching actually looks like
The mechanics are the same for any tool: export the customer list, sites and units; import them; run one cycle in both systems; cancel on the renewal date. The part people underestimate is the open balances. Our switching guide covers how to bring them without double-billing anyone.
Then read the row-by-row comparison. It is PortaPro's own page, so it says what PortaPro does and quotes ServiceCore only from its site. If you spot something out of date on it, the email address at the bottom is real and we fix it.
