A roll-off rental makes its money after the drop: the days past term, the tons over what's included, the landfill's fee for what was actually in the box, and the swap the customer asked for at 6 AM. PortaPro tracks each one on the rental as it happens and puts all of it on one final invoice.

A restroom on a rate card bills the same every cycle. A roll-off doesn't. The quote covers a box for a stretch of days with some tonnage included, and then the job happens: the contractor keeps it a week longer, fills it with shingles instead of drywall, and calls for two swaps. Every one of those is money, and every one of them lives on a scale ticket, a calendar or a phone call.

General field service software was built for a visit with a price. Rental software was built for a party that ends on Sunday. Neither has a place for a landfill that charges one rate for C&D, another for shingles and nothing for clean fill, or for a box whose days out reset on a swap.

The mechanism that matters: the rental carries its own economics (haul rate, daily overage, included tons, how disposal bills), and every pull prices itself against them the moment the driver saves the ticket. By the time the box comes home, the final invoice is already written.

Rates that price the stay the cheapest way

Give each container size a day, week and 28-day rate. PortaPro bills the cheapest combination that covers the days the box was out, and the invoice says which. A box that stays past its included days bills the daily overage you set, worked out from the dates, not from someone updating a cell.

Each rental answers How is disposal billed? once. Included in the rate covers disposal up to the included tons and bills the overage per ton. Landfill cost + markup bills the disposal site's fee for that load plus your percent. Picking one clears the other, so the same tons can't bill twice.

Each disposal site carries a cost per ton, a minimum charge for a light load, a cost per load for a site that charges flat, and rates by material: C&D, household trash, shingles, concrete, clean fill, yard waste, clean wood, scrap metal. A material the site takes free gets no disposal line.

The driver enters gross, tare, the ticket number, the site and the material on the phone, with a photo of the ticket. With no signal it saves and sends later. With signal, PortaPro reads the photo and fills in the fields the driver left empty, converting pounds or kilograms to tons; the driver checks and taps Save.

Open rentals, boxes in overage and pickups due this week sit on top of the Roll-Offs page. Swap books the pull for the same site on the dispatch board, and pickups schedule themselves about two days before the expected end. A pull that closed without a weight ticket is flagged on its row.

When every job on the rental is closed, Final invoice gathers the rental base, every haul, every tonnage overage and disposal line, and any fee added mid-term into one draft, less the deposit already paid. Each job is stamped so it can't be billed again on a cycle invoice.

The customer portal shows each box on site with its days out and pickup date. Customers request a new box, a swap, a pickup or an extension, and your office answers with one button. With Online Booking on, they can book a size for their dates and pay a deposit, and nothing reaches the schedule until you approve it.

Questions roll-off haulers ask

We rent porta-johns and roll-offs. Is that two systems?

One. Roll-off rentals sit next to your restroom and septic work in the same account, on the same dispatch board, with the same customers. A job on a rental bills only on that rental's final invoice, never on the customer's cycle invoice as well.

Can we bill tons over what's included?

Yes. Set the included tons and an overage per ton on the rental. The net weight from each pull's weight ticket is compared against what's included, and the tons over bill at your rate on that pull.

The landfill charges us by the ton and by material. Can we pass that on?

Yes. Put the site's cost per ton, its minimum charge, and a rate for each material on the disposal site, then set the rental to Landfill cost + markup with your percent. Each pull bills the site's fee for the ticket's material and net weight, plus the markup, and the invoice note shows the landfill's figure beside what you billed.

What if the driver has no signal at the scale house?

The weight ticket saves on the phone and sends when signal returns. Reading the ticket photo needs signal, so offline the driver types the numbers.

Can customers book a dumpster online?

Yes. Turn on Online Booking, pick the box sizes customers can book, and set a deposit. Customers choose dates, see which sizes are free and the price, and pay the deposit. Nothing reaches the schedule until your office approves it, and Decline refunds the deposit.

Will it stop us from sending a truck that can't carry the box?

It warns rather than blocks. Set each truck's largest container size and the job wizard flags a truck that's too small for the box on the job.
