PortaPro lives at app.portaprosoftware.com. Bookmark it. The first time you sign in, the Setup Guide in the corner of the dashboard walks you through the same steps as the checklist below and ticks each one off as real data lands.

Set up with our team§

The setup and training call is 60 minutes on a screen share. Bring your customer list and your price sheet; we do the rest together:

  • Import your customers and service addresses, and check the result with you.
  • Enter your rate cards so recurring service and cycle invoices run on their own.
  • Build your first routes and show your drivers the mobile app.
  • Set up invoicing, online payments, and the customer portal.
  • Answer whatever else comes up. Most operators are running live by the end of the call.

Self-onboarding checklist§

Work through these in order. Inside PortaPro, the Setup Guide tracks the same steps and completes them from your real data, so there is nothing to mark done by hand. Each step links to the Help Center article that covers it.

    Complete your company profile

    Settings, then Company. Your business name, address, logo, and time zone go on every invoice, email, and driver text you send, so this comes first.

    Set your billing cycle

    Settings, then Finance. Pick calendar month or a 28-day cycle, and whether you bill in advance or after the service period. Rate cards and cycle invoices follow this setting, so decide it before you enter prices.

    Invite your team

    Team Management, then Invite User. Office staff get the dashboard; drivers get the mobile app. Everyone receives a branded invitation email and picks their own password.

    Add your equipment

    Inventory. Create your unit types (standard units, ADA units, hand-wash stations, roll-offs) and your numbering series. Units you own become trackable assets with a printable tag.

    Import your customers

    Customers, then Import. Bring your whole book over in one pass from a spreadsheet, a QuickBooks export, or a paste from anywhere. Full instructions are in the next section.

  6. 6.

    Put recurring service on the rate card

    Open a customer, then Sites. Each service address declares what is there and how often it is serviced. That one entry drives the service schedule and the cycle invoice.

    Connect payments

    Settings, then Payments. Connect Stripe so customers can pay invoices online by card or bank, and set your invoice defaults, terms, and numbering.

    Set up the driver app

    Drivers sign in to the PortaPro mobile app with the same invitation. Each driver sees their stops for the day, completes service with photos, and reports issues from the field.

    Create your first job and route

    Jobs and Dispatch. Add a delivery or service job, assign a driver, and build a route. Recurring service from your rate cards appears here on its own once it is set.

Importing your customers§

Customers, then Import. The import wizard brings your whole book over in one pass: customers, contacts, service addresses, and the recurring units at each address. Three ways in:

  • Upload a file. A CSV or Excel workbook from your current system. Columns are matched by name, and the wizard shows you anything it could not place before it imports.
  • Use the template. Download the PortaPro template from the import screen, fill it in, and upload it. Best when you are starting from paper or a customer list in a notebook.
  • Paste from anywhere. Copy customer rows out of any spreadsheet, document, or email and paste them in. The wizard reads the columns for you and asks about anything unclear.

What the wizard checks with you

Before anything is written, the wizard walks through the rows that need a decision: names it could not read, likely duplicates, which of your unit types each row's equipment matches, and the billing and tax questions your file left blank. Money and tax fields are never guessed. A blank is yours to answer, not the software's.

Tips for a clean file

  • One row per customer, with the service address in its own column when it differs from billing.
  • A QuickBooks customer export works as is, including sub-customers written as Parent:Division; they become divisions under a parent account.
  • Include the unit type, count, and service frequency for each address if you have them. Those rows land on the rate card and start scheduling service.
  • An opening balance column carries what each customer owes today, so your first cycle picks up where the old system left off.

If something is wrong

Every import is recorded under Recent imports with a one-click rollback, so a bad file is undone in seconds and you can try again. Rather have us do it? Email your file to onboarding@portaprosoftware.com or bring it to the setup call.

Ask Kygo

Kygo, our virtual K9 assistant, answers questions right inside PortaPro. Open the Help menu (the question mark in the corner on a computer, or the menu on your phone) and choose Ask Kygo, the item with the Live Help icon. On the website, Kygo is at chat with Kygo.

A real person
