PJR Software, Porta-John Rental Software, sells PJR Online to portable restroom, septic and roll-off companies, and its pricing page is clear about its model: a monthly price for each user, no contract, no onboarding fee. That clarity makes the comparison easy to do, so this post does it. Every PJR figure comes from pjrsoftware.com, linked with dates on the compare page.
The published rates
$65 a month for each active admin user. $45 a month for each active mobile app user. Data conversion or customization at $225 an hour. Onsite training at $185 an hour per trainer, 8-hour minimum, plus travel. Twenty hours a year of phone, email and remote support included; more at $150 an hour.
Four team sizes, one year
User licenses only, at those rates, for twelve months:
- 1 office, 1 driver: $110 a month, $1,320 a year.
- 1 office, 2 drivers: $155 a month, $1,860 a year.
- 2 office, 3 drivers: $265 a month, $3,180 a year.
- 3 office, 8 drivers: $555 a month, $6,660 a year.
PortaPro, for any of those teams: Starter $1,250 a year billed annually, Core $1,925, Growth $2,595. The first row is close. Every row after it is not, and the gap is the hire you make next spring.
Per-user pricing also creates a small, constant temptation: the seasonal driver who shares a login instead of getting one. That is a records problem, not a savings. The driver who completed the stop should be the one on the service report, which is why PortaPro's answer to shared trucks is a PIN per driver on one iPad, with no per-driver charge.
Setup and training, with their rates
PJR's portable restroom page says setup takes about 14 to 30 days depending on how fast you provide your data, with data conversion at $225 an hour if you want it done for you. PortaPro's import is free and shows every row before saving; most companies run the same day, and onboarding with full data migration and training is one month of your plan, paid ahead of time, not hourly.
Routing: ask what it plans around
PJR describes AI-optimized routing that assigns tickets to routes in one click, with drag-and-drop changes, fastest or shortest routes, roads to avoid and truck restrictions. That is a good list. The question for any vacuum truck operation is whether the plan knows about the tank.
A pumper route is not a delivery route. The truck fills, it has to dump, the disposal site closes at four, and the stops after the dump are different from the stops before it. PortaPro's Plan day puts every stop on a truck and in order around the tank, the disposal site's hours, service windows and shift hours, and adds the dump stop before the tank fills. Whatever a routing feature is called, that is the test. We go through it in route planning around the tank.
Rental billing and QuickBooks
PJR's portable restroom page lists batch billing, proofing, pause billing, contract billing and progressive billing, and its home page says it sends billing to QuickBooks Online. PortaPro bills a rate card per site every 28 days or by calendar month, prorates the first invoice to the day, leaves paused sites off, checks nightly for anything that should have billed and did not, and sends to QuickBooks Online, QuickBooks Desktop, Xero and FreshBooks.
Trying it
PJR's home page offers a free 14-day trial with no card; its pricing page offers 30 days of free licensing after a demo. PortaPro's 14-day trial runs on your own account with a card that is not charged if you cancel, and a guided 30 to 60 day trial starts from a demo with no card. Either way, use the trial to run one real billing cycle. The row-by-row page has the full list with sources.
